Occupational pension provider of 68,000+ policyholders
Pensionskasse Post is a private-law community foundation managing the occupational pensions of more than 38,000 Swiss Post employees and associated businesses. Moreover, it administers more than 30,000 retirement annuities and survivor’s and disability pensions. Certified investment professionals oversee a policyholders asset portfolio valued at approximately 17.1 billion CHF, ensuring optimal and risk-adjusted management.

The challenge

Sharing sensitive data
Managing sensitive personal data is central to Pensionskasse Post’s operations, demanding the highest standards of data protection. Although internal workflows have been fully digitized, external communication and information exchange – with policyholders and business partners – required a secure and efficient solution.

While many business partners favor digital workflows, a segment of policyholders – largely due to their age demographics – continues to prefer postal service or even phone calls. Pensionskasse Post must therefore address these diverse expectations while complying with the strict communication requirements set by public authorities.

Evolving expectations in the digital age
Pensionskasse Post recognized that many policyholders were ready for a modern, fast digital experience. They wanted to offer a secure digital channel alongside traditional methods. This new cloud solution now supports key workflows like:

  1. Pension plan for policyholders:
    Employers can register new employees via an electronic interface. New policyholders then receive their personal pension plan detailing their insurance relationship – traditionally printed and sent via postal service.
  2. Pension certificate for policyholders:
    Active members can request a pension certificate with up-to-date insurance information. This document contains details, such as the insured annual salary, annual premiums, current savings status, shopping opportunities, and simulated retirement pensions. Up to 15,000 certificates are sent out per year – primarily on paper.
  3. Disability pension dossiers from compensation funds:
    Upon request, compensation funds must provide dossiers containing records of disability pension policyholders, including sensitive medical reports. Previously, this file exchange occurred mainly via CDs and postal delivery.

The solution

Pensionskasse Post needed a solution that allowed for secure digital file sharing with policyholders and partners.The platform had to meet strict public authority requirements for data security and compliance by offering end-to-end encryption.

In addition to providing zero-knowledge architecture, user-friendliness was also a key requirement to ensure smooth adoption.

The implementation

Getting set up quickly
The decision to implement Tresorit was made quickly: „We knew that SecureCloud – which includes Tresorit’s FileSharing functionalities – is currently used by Swiss Post in a sector with stringent security requirements. Our research showed that there is basically no comparable solution on the market,“ points out Richard Würthrich, IT Systems Manager at Pensionskasse Post.

The implementation was straightforward, allowing Pensionskasse Post to start using Tresorit FileSharing in no time. All 45 employees received a short one-on-one training. Richard Würthrich says: „Tresorit is truly user-friendly. If you’ve used it once or twice, hardly any questions remain.“

The results

Minutes instead of several workdays
The introduction of Tresorit FileSharing has significantly sped up the file exchange with customers and partners – both within Switzerland and for policyholders abroad.

In our partner environment alone, we now share 60% of files via encrypted links—and the trend is rising. Here Tresorit has helped to considerably simplify and accelerate daily workflows. For example, the provision of sensitive disability pension records from compensation funds now takes only three workdays instead of weeks and is done via secure links instead of CDs.” states Rinaldo Cilli, Director of Information Technology at Pensionskasse Post.

The digital solution also benefits climate protection. Not only are Pensionskasse Post and their partners saving precious resources such as paper and CDs, but CO₂ emissions have also been reduced due to fewer shipping and transport routes.

Maximum security made easy
Pensionskasse Post emphasizes Tresorit’s unique combination of maximum security and usability:

Compared to other systems that rely on complicated SMS codes or cumbersome sign-up and login processes to ensure security, Tresorit FileSharing with its combination of secure encryption technology and ease of use is a perfect match for us. “We have found what we were looking for, and we have no reservations about recommending the solution to others.” Richard Würthrich stresses.

The team sees future potential in using Tresorit’s data rooms with role-based access rights – to further optimize collaboration with external data analysts.

Currently, Pensionskasse Post sends large volumes of exported Excel data via email to experts, who then return finalized analyses in the same way. Instead of sending sensitive files back and forth, Tresorit data rooms would allow for secure file upload and collaborative editing within a dedicated space, governed by designated access rights.
